7. Transcript Module 🆕

The purpose of the OHMS transcript module is to edit text efficiently and create and synchronize time code references within an uploaded transcript. This module will enable organizations to link the public user’s search of the text to the corresponding moments in the OHMS Viewer’s online audio/video interview. The OHMS transcript module presents a user-friendly and efficient interface for thoroughly preparing transcripts for enhanced public access.

7.1. Introducing OHMS Aviary Transcripts
OHMS Aviary now supports customized and granular timed-text synchronization and conforms to contemporary transcript standards. With this latest update, OHMS Aviary increases its capabilities for editing and customizing timed-text synchronization for transcripts with timecode and still allows users to edit and synchronize imported transcripts without existing time code. There are now two different transcript standards that can be utilized in OHMS Aviary: the OHMS legacy transcript standard and the new OHMS Aviary transcript standard. 🆕 OHMS Aviary transcript standard: For full functionality and conformance with contemporary standards, users are encouraged to import transcripts using the new OHMS Aviary transcript standard. Features: Can be imported in a variety of transcript and time code formats. Transcripts are split into segments or chunks and include a timecode that describes the start and end times of each segment. Can be edited directly in the built-in transcript editor. Can be annotated using the built-in annotation feature. Transcripts can be exported in a variety of standard formats. OHMS records with these transcripts can be exported and displayed in the updated OHMS Viewer. Transcripts can be used to create accessible captions displayed in external media players. Manual transcripts can be created directly in OHMS Aviary. Options for adding OHMS Aviary transcripts: Import a VTT, TXT, DOC, or DOCX transcript conforming to the new OHMS Aviary transcript standard. Import a TXT, DOC, or DOCX transcript conforming to the OHMS legacy transcript standard and allow the transcript to be automatically converted to the OHMS Aviary transcript standard. Create a manual transcript directly inside OHMS Aviary (does not require any outside text editor). Import an OHMS XML 6.0 file that contains transcription in <vtt_transcript> and <vtt_transcript_alt> fields. Import an OHMS XML 5.4 file that contains transcription in <sync>, <sync_alt>, <transcript>, and <transcript_alt> fields and allow the transcript to be automatically converted to the OHMS Aviary transcript standard. OHMS legacy transcript standard: Users can continue importing transcripts using the OHMS legacy transcript standard. Features: Transcripts will be displayed in a dedicated "OHMS legacy transcript" viewer. Transcripts cannot be edited or augmented with new sync points inside Aviary. Transcripts do not contain complete timecode data. Imported transcripts are automatically synchronized using timecode that conforms to OHMS legacy transcript standards (00:00:30, 00:01:00, 00:02:00, 00:03:00, 00:04:00, and 00:05:00 intervals). Timecode in the transcript must be formatted [HH:MM:SS] and be placed at the location of the corresponding text. Imported transcripts can include linkable footnotes formatted with text and hyperlinks. OHMS records with these transcripts can still be exported and published in the OHMS Viewer as before. To enable editing, time synchronization, and transcript annotation, legacy transcripts can be converted to the new OHMS Aviary transcript standard. Options for adding OHMS legacy transcripts: Import a TXT, DOC, or DOCX transcript conforming to the OHMS legacy transcript standard. Import an OHMS XML 5.4 file that contains transcription in <sync>, <sync_alt>, <transcript>, and <transcript_alt> fields.
7.2. Formatting OHMS transcripts
There are a variety of transcript formats that can be imported into OHMS. This section describes the formats that OHMS Aviary transcripts and OHMS legacy standard transcripts support and includes guidance on how to format your transcripts. Example files for each transcript format are available to download and use as template when formatting your transcripts. OHMS does not support any additional transcript formatting options other than the formats described in this guide. 7.2.1. Formatting an OHMS Aviary transcript Transcripts can be imported as OHMS Aviary transcripts in a variety of formats including VTT, TXT, DOC, or DOCX. All OHMS Aviary transcripts should contain a timecode for each transcript segment (paragraph). The timecode should be displayed on the line immediately above the transcript segment. Include the transcript segment on the line below the timecode, as a single paragraph without any line breaks inside the segment. Identify speakers at the beginning of the segment. WebVTT: WebVTT is the preferred transcript format and has the highest likelihood of success when being imported into the OHMS Application. WebVTT files are plain text files encoded with UTF-8. WebVTT stands for Web Video Text Tracks, and the file extension is .vtt. WebVTT files include: A line at the beginning of the file that reads "WebVTT" (required) Timecodes that outline hours, minutes, seconds, and milliseconds on a line directly above every segment (required) A blank line between each transcript segment (required) NOTE sections that describe different portions of the transcript, which are not displayed on the screen (optional) Annotations encoded with <c.#> tags in the body and <annotation ref="#"> tags at the bottom of the document (optional) Speakers encoded at the beginning of a paragraph with <v Speaker #> tags (optional) See these example OHMS Aviary WebVTT transcript import templates: TXT: Plain text files are the second preferred transcript format for importing into OHMS Aviary. Text files should be encoded with UTF-8 and saved using the .txt file extension. TXT transcript files include: A line at the beginning of the file that reads "AVIARY TRANSCRIPTION" (optional) Time codes on a line directly above every paragraph that outline hours, minutes, and seconds (optional) A blank line in between each transcript segment block (required) Descriptive notes that describe different sections of the transcript document, which are not displayed on the screen (optional) Annotations encoded with <annotation number="#"> tags in the body and [#] tags at the bottom of the document (optional) Speakers added in all caps at the beginning of a paragraph as SPEAKER #: (optional) See these example OHMS Aviary TXT transcript import templates: DOC and DOCX: Although allowed, DOC and DOCX transcripts are not recommended for importing into OHMS Aviary, because they contain extraneous hidden formatting that can negatively impact imports. If using DOC or DOCX transcripts, it is important to reduce extraneous formatting. Also, uploading files with title or disclaimer pages before the transcript contents will interfere with timecode syncing efforts. Formatting an OHMS legacy standard transcript Transcripts can be imported using the OHMS legacy transcript standard in a variety of formats, including TXT, DOC, or DOCX. TXT is the preferred format for OHMS legacy standard transcripts and has the highest likelihood of success when being imported. All OHMS legacy standard transcripts contain text, with optional speakers, timecode, and footnotes. TXT: Plain text files are the preferred format for importing OHMS legacy standard transcripts. 7.3. Importing OHMS Aviary transcripts
There are several ways to import and create transcripts for an OHMS record. Users can import and attach a transcript to an existing OHMS record, import an OHMS XML file that already contains transcript data, or manually create a transcript in OHMS Aviary. For users importing a transcript that conforms with the OHMS Aviary transcript standard, these methods include: 7.3.1. Importing a transcript conforming to the OHMS Aviary transcript standard. 7.3.2. Importing a TXT, DOC, or DOCX transcript conforming to the OHMS legacy transcript standard and allowing the transcript to be automatically converted to the OHMS Aviary transcript standard. 7.3.3. Importing an OHMS XML 6.0 file. 7.3.4. Importing an OHMS XML 5.4 file that contains transcription in the <sync>, <sync_alt>, <transcript>, and <transcript_alt> fields and allowing the transcript to be automatically converted to the OHMS Aviary transcript standard. 7.3.5. Creating a manual transcript. See below for detailed instructions about each method: 7.3.1. There are several ways to import and create transcripts for an OHMS record. Users can import and attach a transcript to an existing OHMS record, import an OHMS XML file that already contains transcript data, or manually create a transcript in OHMS Aviary. For users importing OHMS legacy standard transcripts, these methods include: 7.4.1. The Transcript page can also be accessed from the OHMS Studio by clicking the Transcript button beside a resource. When viewing an OHMS Aviary transcript, the Transcript page features: An Edit Transcript button to edit the current transcript in the transcript editor window. Action buttons to navigate to the Metadata and Index pages. A Download Transcript button to download the transcript in a variety of formats. A toggle switch to change between primary and translated/alt transcripts. Annotations highlighted with boxes in the body of the transcript and marked with tabs at the left edge of the transcript segment. The full text of an annotation is displayed below the media player in the Annotations box. Timecode displayed on the left edge of each transcript segment. Identified speakers are bolded before each transcript segment.
7.6. Viewing an OHMS legacy standard transcript
After importing a transcript formatted with the OHMS legacy transcript standard, the transcript is displayed on the Transcript page. The Transcript page can also be accessed from the OHMS Studio by clicking the Transcript button beside a resource. When viewing an OHMS legacy standard transcript, the Transcript page features: An OHMS legacy standard transcript view descriptor Action buttons that allow users to navigate to the Metadata and Index pages A toggle switch to change between primary and translated/alt transcripts Timecode displayed in the body of the transcript (OHMS sync points) Linkable footnote superscript numbers displayed in the body of the transcript, with corresponding footnotes at the bottom of the transcript A Convert button to convert transcripts from the OHMS legacy standard to the OHMS Aviary transcript standard A Revert button to revert an OHMS legacy standard transcript back to its original form after being converted to the OHMS Aviary transcript standard
7.7. Editing an OHMS Aviary transcript
Transcripts imported with the OHMS Aviary transcript standard, or converted from the OHMS legacy transcript standard, can be edited using the updated Edit Transcript feature. The improved OHMS transcript editor includes new functionality to add or edit speaker names, edit text, find and replace terms, and add or edit segment start times. 7.7.1. Launching the OHMS transcript editor From the OHMS transcript page, click the Edit Transcript or Edit Alt Transcript button to launch the OHMS transcript editor. The transcript editor will open in a new browser window. Note: The Edit Transcript button will not appear for transcripts formatted with the OHMS legacy transcript standard or transcripts that are being edited. 7.7.2. Adding or editing speaker names To add or edit the names people speaking in your transcript, click the Add speaker link that appears between the transcript segment start time and the transcript segment text. The Change speaker name modal window will open. In the Change speaker name window: Replace the Add speaker text with the appropriate speaker name Check the Replace all occurrences checkbox to change all instances of the current speaker name with the new name Click the Cancel button to exit without saving changes to the speaker name Click the Rename button to save changes to the speaker name Note: To remove a speaker name from a transcript segment, click the name in the transcript to open the Change speaker name window. Delete the speaker name and leave the text field blank. Then click the Rename button to save changes. 7.7.3. Editing transcript text Transcripts can be edited using normal text edit functionality in the transcript editor. Unlike the previous version of the OHMS transcript editor, transcripts can now be fully edited, including adding or removing text and line breaks, without having any negative impacts. 7.7.4. Finding and replacing transcript text The Find and Replace feature allows users to edit one or more instances of a word or phrase in a transcript. This is a useful tool if a word has been repeatedly mis-transcribed. When a user enters text in the Find box, the total number of matches is displayed to the left (for example, 12 matches in the screenshot above). Each of the matches is highlighted in the transcript. The first/current match is highlighted in orange, while the subsequent matches are highlighted in yellow. Move between matches in the transcript by clicking the ⌄ or ^ buttons. Click on the Replace One button to replace the word that is currently highlighted in orange. The match highlighted in orange will then automatically move to the next match. Click on the Replace All button to replace all of the highlighted matches. Note: The find and replace feature is case-sensitive. 7.7.5. Adding or editing transcript segment start times The start time for each transcript segment can be edited in two ways: Manually edit timecode: Click on the pencil icon to the left of the transcript segment timecode. This will display the Change timecode modal window. Manually edit the timecode in HH:MM:SS format. Click the OK button to submit the change or the Cancel button to close without saving. Sync the time to the current timecode of the media player: A user can sync the start time of a transcript segment by clicking on the Sync button. Adding OHMS Notes in the Transcript Editor OHMS notes can be added, deleted, or updated in the transcript editor. To create a note: Click the OHMS Notes tab on the left side of the transcript editor window. Type the note in the text box. Click the Add Note button to save the note. The note will then be displayed in the text box with a note number. The status will automatically be set to Unresolved. Change the status of any note by clicking on the appropriate checkbox. Delete any note by clicking the Delete button. Export a CSV containing all of the notes in an OHMS record by clicking the Export Notes to CSV button.
7.8. Converting a Legacy OHMS transcript
Transcripts formatted with the OHMS legacy transcript standard can be converted into the new OHMS Aviary standard transcript format. This process uses a series of regular expressions to guide the conversion process. Convert to the OHMS Aviary transcript standard Click the Convert button to start converting a transcript formatted with the OHMS legacy transcript standard to the OHMS Aviary transcript standard. Note the following about the conversion process: Each paragraph is converted into a separate transcript segment. Paragraphs are identified by lines ending in end punctuation, including a period (.), a question mark (?), or an exclamation point (!). The conversion process may fail if paragraphs end in characters other than the expected end punctuation. Text that appears to be a speaker designation at the beginning of a paragraph will be included as the speaker for that transcript segment. Each transcript segment will be assigned a timecode. If your legacy standard transcript has no timecode, all of the converted segments will have timecode set to 00:00:00. If your legacy standard transcript has legacy timecode sync points, those points will be used to calculate transcript segment timecode. Each of your sync points will be converted to a new segment with the precise time you have noted. Each segment in between legacy sync points will be given a calculated timecode based on the number of words in the segment and the time length of the segment. These calculated timecodes can be manually corrected in the transcript editor or automatically aligned in a service like the Gentle transcript aligner. Footnotes will be converted to annotations. Revert back to the OHMS legacy transcript standard 2. Anytime after conversion, users can choose to undo the work of conversion by clicking on the Revert button at the bottom of the transcript show page. This process will return the transcript to its original state in the OHMS legacy transcript standard. Warning: All changes made to a transcript after it is converted will be lost if you revert back to its original state! If you convert a transcript and then make any edits in the transcript editor, reverting will remove those changes.
7.9. Annotating OHMS Aviary transcripts
OHMS Aviary transcripts can be annotated. This lets users add extra information or labels with transcript annotations and provide more analysis, explanation, or context for text in their transcripts. Users must follow several steps to create transcript annotations, including editing a transcript in the transcript editor, adding a new annotation set, selecting transcript text to be annotated, adding transcript annotations, and saving the edited transcript. 7.1. Introducing OHMS Aviary Transcripts

OHMS Aviary now supports customized and granular timed-text synchronization and conforms to contemporary transcript standards. With this latest update, OHMS Aviary increases its capabilities for editing and customizing timed-text synchronization for transcripts with timecode and still allows users to edit and synchronize imported transcripts without existing time code.
There are now two different transcript standards that can be utilized in OHMS Aviary: the OHMS legacy transcript standard and the new OHMS Aviary transcript standard.
🆕 OHMS Aviary transcript standard: For full functionality and conformance with contemporary standards, users are encouraged to import transcripts using the new OHMS Aviary transcript standard.
Features:
Can be imported in a variety of transcript and time code formats.
Transcripts are split into segments or chunks and include a timecode that describes the start and end times of each segment.
Can be edited directly in the built-in transcript editor.
Can be annotated using the built-in annotation feature.
Transcripts can be exported in a variety of standard formats.
OHMS records with these transcripts can be exported and displayed in the updated OHMS Viewer.
Transcripts can be used to create accessible captions displayed in external media players.
Manual transcripts can be created directly in OHMS Aviary.
Options for adding OHMS Aviary transcripts:
Import a VTT, TXT, DOC, or DOCX transcript conforming to the new OHMS Aviary transcript standard.
Import a TXT, DOC, or DOCX transcript conforming to the OHMS legacy transcript standard and allow the transcript to be automatically converted to the OHMS Aviary transcript standard.
Create a manual transcript directly inside OHMS Aviary (does not require any outside text editor).
Import an OHMS XML 6.0 file that contains transcription in <vtt_transcript> and <vtt_transcript_alt> fields.
Import an OHMS XML 5.4 file that contains transcription in <sync>, <sync_alt>, <transcript>, and <transcript_alt> fields and allow the transcript to be automatically converted to the OHMS Aviary transcript standard.
OHMS legacy transcript standard: Users can continue importing transcripts using the OHMS legacy transcript standard.
Features:
Transcripts will be displayed in a dedicated "OHMS legacy transcript" viewer.
Transcripts cannot be edited or augmented with new sync points inside Aviary.
Transcripts do not contain complete timecode data.
Imported transcripts are automatically synchronized using timecode that conforms to OHMS legacy transcript standards (00:00:30, 00:01:00, 00:02:00, 00:03:00, 00:04:00, and 00:05:00 intervals).
Timecode in the transcript must be formatted [HH:MM:SS] and be placed at the location of the corresponding text.
Imported transcripts can include linkable footnotes formatted with text and hyperlinks.
OHMS records with these transcripts can still be exported and published in the OHMS Viewer as before.
To enable editing, time synchronization, and transcript annotation, legacy transcripts can be converted to the new OHMS Aviary transcript standard.
Options for adding OHMS legacy transcripts:
Import a TXT, DOC, or DOCX transcript conforming to the OHMS legacy transcript standard.
Import an OHMS XML 5.4 file that contains transcription in <sync>, <sync_alt>, <transcript>, and <transcript_alt> fields.
