What is an index?
Aviary organizations have the ability to describe their audiovisual resources using indexes. Aviary indexes are similar to traditional indexes in books, but instead of referencing page numbers, Aviary syncs metadata about audiovisual content with time codes that link to specific moments in a media file. Each part of an index that references a timecode is called a segment.
Indexes can be very simple or highly detailed based on the level of description that is used to describe a media file. A simple index may only include a title and one segment that describes the entire media file. More detailed indexes may include many segments that describe different parts of the media file using multiple metadata fields.
Index segments can include a variety of metadata fields including: segment start and end times, a segment synopsis, a partial transcript of the segment, GPS information about places referenced in the segment, subjects, keywords, and hyperlinks about content in the segment.
Indexes can also include additional metadata, including a descriptive note, language information, access permissions, and a default sort order used when displaying multiple indexes for the same media file.
Methods for creating Aviary indexes:
Aviary offers four methods for creating or adding an index to a media file:
Indexes can be created manually using the Aviary user interface. For more information see: Manually creating an index
Index files can be manually uploaded to a media file in Aviary. For more information see: Uploading an index
Indexes can be generated using the automated AssemblyAI speech-to-text transcription service available in Aviary. For more information see: Requesting an automated index
Indexes can be imported in bulk using the Aviary user interface or the Aviary API. For more information see: Importing indexes in bulk or Importing indexes with the Aviary API
Supported index formats
Aviary supports three standardized index formats. Organizations can choose one of these formats as their default index template in Aviary. It is also possibel to manually update an index to use a different format than the default template.
WebVTT: Web Video Text Tracks format
(https://www.w3.org/TR/webvtt1/)
WebVTT files are plain text files encoded with the UTF-8 standard. The extension for WebVTT files is .vtt. WebVTT index files include:
A line at the beginning of the index file that reads "WebVTT" (required)
A title for each index segment (required)
Time codes that identify the start and end times of each index segment (required)
A blank line between each index segment (required)
Additional descriptive information to be included in index segment metadata fields (optional)
See an example Aviary WebVTT index template:
OHMS: Oral History Metadata Synchronizer XML schema
(https://www.avpreserve.com/nunncenter/ohms/ohms.xsd)
OHMS XML files can be imported into Aviary resources to create indexes. When an OHMS XML file is used as an Aviary index, the resource-level descriptive metadata elements are ignored, and only the index data is imported.
For more detailed information about the OHMS index format and schema, see this article: Indexing Interviews in OHMS: An Overview
See an example OHMS XML index template:
AES60-2011: AES standard for audio metadata
(https://www.aes.org/standards/schemas/aes60-2011.xsd)
XML files using the AES-60 2011 standard can be imported into Aviary resources to create indexes. The AES-60 standard was developed by the Audio Engineering Society to create consistent metadata guidelines for describing audio recordings.
For more detailed information about the AES60-2011 standard, see this article:
https://www.aes.org/standards/blog/2011/9/core-audio-metadata-aes60-2011-published
See an example AES-60 index template:
Index format metadata fields
Each standardized index format offers different metadata fields that can be used to describe a media file. See the table below for a comparison of the metadata fields that are available when using WebVTT, OHMS, and AES-60 index formats in Aviary.

Assigning a thesaurus to index segment metadata fields
Aviary organizations can import a custom thesaurus and assign it to an index segment metadata field.
Aviary organizations can also assign the default Library of Congress Subject Headings or American Folklore Society Ethnographic Thesaurus to index segment metadata fields.
Using a custom thesaurus allows organizations to follow a controlled vocabulary when creating and editing Aviary index segments.

Importing indexes in bulk
Indexes can be imported in bulk as part of the Aviary Package Import process.
The Aviary Package Import process requires creating descriptive metadata in a CSV for each index that will be associated with a media file. The index files and metadata CSV are then imported during the Aviary Package Import process.
Indexes can either be bulk imported when creating new resources as part of a complete Aviary Package Import or attached to existing media files that have already been added to Aviary.
Please see the Importing Content In Bulk section of the user guide for more information about how to import indexes using the Aviary Package Import process.
Importing indexes with the Aviary API
Indexes can be imported, updated, retrieved, and deleted using the Aviary RESTful API.
Please see the Aviary API section of the user guide for more information about using the API to import indexes.
