Aviary User Roles

The Aviary platform is available to two types of users, external users and organization users. External users can search, discover, and access content that has been added to the platform by Aviary organizations. Organization users are associated with specific organizations and are assigned user roles based on their responsibilities when managing content in Aviary.

1. External Users

External users can search, discover, and access content on the Aviary platform without being a member of an Aviary organization. There are two kinds of external users who can access content in Aviary — public users and registered users.

Public User

Public users are any users who visit the Aviary platform to search, discover, and access content without registering for an Aviary user account. When organizations make their content public on the Aviary platform, the collections, resources, and any associated metadata or files that are publicly-available can be accessed by public users who are not logged into an account.

Registered User

Registered users are external users who either create a free Aviary user account to log into the platform or log into Aviary through a single sign-on authentication protocol configured by their institution. Organizations may restrict access to certain content on the Aviary platform, including resources, metadata, media files, transcripts, or supplemental files. Registered users are able to search and discover some information about restricted content according to the organization’s settings, and may submit a request to the organization to access content that is not public.

2. Organization Users

Organization users are assigned specific user roles within an Aviary organization. Organization users are able to perform certain actions when managing content and administrative settings according to the permission levels associated with each user role. There are four roles that can be assigned to organization users:

Organization Owner

Organization Owners are users who create an Aviary organization or are assigned the owner role for an existing organization. All organizations must have at least one owner. Organization Owners have full access to all features in an organization, including the ability to manage other users, content and display settings, billing information, and automated metadata requests.

Note: Only the current organization owner can assign the owner role to other users in an organization.

Organization Admin

Organization Administrators have access to all features in an organization, with the exception of viewing and editing billing information and display settings. Organization administrators can assign roles and manage other organization users, with the exception of Organization Owners.

Organization User

Organization Users have access to features in an organization related to managing its content, including collections, resources, media files, indexes, transcripts, and supplemental files. Organization Users cannot access or edit any other aspects of the organization, such as billing information, display settings, and managing other users.

Assigned User

Assigned Users have limited access to manage specific content in an Aviary organization. Organization Owners or Administrators must assign specific resources to Assigned Users in the Resources table. Assigned Users can only access resources that have been assigned to the user by opening the My Aviary Assignments page from the user’s profile dropdown menu. Assigned Users are not able to view or edit any other content or administrative settings in an organization.
