What is a resource?
Resources are the main entities users access in the Aviary platform. Aviary resources include descriptive metadata and may contain one or more media files, indexes, transcripts, and supplemental files. The resource metadata and associated files are presented together on the Resource Detail page.
The Aviary platform has flexible requirements when organizing and describing resources. This allows organizations to arrange resources according to what’s best for specific content and collections.
Although it is not required, many organizations choose to organize Aviary resources in arrangements that coincide with existing library bibliographic records or ArchivesSpace archival objects.

Viewing a resource
Aviary resources are displayed to users on the Resource Detail page. The Resource Detail page has several sections where users can view the media files and metadata associated with a resource.
These sections include the media player and media files, tabs to view descriptive metadata, indexes, transcripts and supplemental files, an annotation window to view transcript annotations, and a search bar to search for terms within the resource.
Navigating the Resource Detail page
1. The resource title and its parent collection are displayed at the top of the Resource Detail page.

2. The media player allows users to control the playback of a media file. If more than one media file is associated with a resource, the total number of media files will be listed below the player. If a media file has been indexed, a timeline with the index points will also be displayed below the player.

3. Users can play or pause the media file as necessary in the player. Users may also adjust settings in the player window, including changing the volume, viewing the media player in a pop-up window, or making the player fullscreen. If closed captions or audio description are available for a media file, users may enable those accessibility features using the CC and D))) buttons in the media player toolbar.

4. Several options are displayed when a user hovers over the media player. These options include sharing the resource by clicking the Share link, creating a IIIF manifest for the resource, or saving the resource to the My Resources section in the user’s profile. Users may also have the option to add the resource to a playlist if they have editing permissions.

5. The Description tab displays any descriptive metadata the organization has provided about the resource. The Description tab includes sections for both Resource Metadata and Media File Metadata, which gives organizations the ability to describe the resource and its associated media files separately.

6. The Index tab will display index segments and descriptive metadata about the index if the media file in the player has been indexed. Multiple indexes may be associated with a media file. Users can choose which index to display using the Indexes dropdown menu. Each timecode in the Index tab corresponds to a segment in the timeline that is displayed below the media player. Clicking a timecode in the Index tab will start playing the media file at that time in the media player.

7. The Transcript tab will display a transcript and descriptive metadata about the transcript if the media file in the player has been transcribed. Multiple transcripts may be associated with a media file. Users can choose which transcript to display using the Transcripts dropdown menu. Clicking a timecode in the Transcript tab will start playing the media file at that time in the media player.

8. If a transcript contains annotations, the Annotations window will be displayed below the media player. Users can click the left and right arrows at the top of the Annotations window to navigate between annotations in the transcript. The annotations are also highlighted in the Transcript tab. Users can click directly on one of the annotations in the Transcript tab to view a specific annotation in the Annotations window.

9. If a resource is associated with one or more supplemental files, the Supplemental Files tab will display the PDF or image and any descriptive metadata about the files. Multiple supplemental files may be associated with a resource. Users can choose which file to display using the Supplemental Files dropdown menu.

10. Users can search for specific terms in a resource using the Search this Resource bar. Type a search term and press Return or Enter to search the resource.

11. The search term and results will be displayed below the Search this Resource bar. A blue circle will display the number of hits in each tab. Users can click the left and right arrows at the top of each tab to navigate between the search hits in that section. The search terms will also be highlighted when viewing content in the tabs.

Creating a resource

Aviary resources can be created manually, using bulk import options, or with the API.
Follow the instructions below to manually create Aviary resources.

Manually creating a resource
1. Click the Resources link in the admin menu to open the Resources table. Alternatively, click the Collections link and choose the Resources button beside a specific collection to only display resources in that collection.

2. All of the resources in the organization or the selected collection will be displayed in the Resources table.

3. Click the Add Resource button above the table to add a new resource.

4. The Add Resource page will open. Select the collection that will contain the new resource in the Collection dropdown menu.

5. Enter a title for the new resource in the Display Title field.

6. Select a featured status for the new resource from the Featured? dropdown menu. If a public resource is featured, it will be displayed as featured content when viewing the organization’s collection page and in the feature section of the Aviary homepage.

7. Select an access status for the new resource from the Access dropdown menu.

See below for more information about each resource access status:
Public: The resource will be available to all users, whether they are logged in or not.
Restricted: The resource will be discoverable by all users in search results and on the collection page, but users must request access from the organization to view the Resource Detail page.
Private: Only organization users and users who have been granted access will be able to see the resource. Non-organization users can be granted access through custom permission groups.
Internal: Only organization users will be able to see the resource exists. Permission groups will not be applied to the resource.
8. Enter an optional Custom Unique Identifier if the resource will be accessed using an identifier.

9. Click the optional Include in RSS/Podcast Feed checkbox to add the resource to an RSS Feed. This option only applies if the collection is configured to have a custom number of entries in an RSS Feed.

10. Click the Add RSS/Podcast Information checkbox to continue adding information about the resource to the RSS Feed. This option only applies if the collection is configured to have a custom number of entries in an RSS Feed.

11. Click the Save button to finish saving the new resource.

Manually adding media files to a resource
The Add Media Files page will open after the new resource is created. Note: Using the File Upload, Link Upload, or Media Staging options will upload and store a copy of the media file in Aviary.
Using the Embed Code option will stream the media file from its current location and will not store the media file in Aviary.
File Upload: Select and upload media files from local storage. Multiple media files can be uploaded at once.

Link Upload: Provide a link to a media file that is available from a publicly accessible URL. Aviary will import the media file from its current location into the resource.

Embed Code: Enter an HTML code to embed a media file from a streaming platform (Avalon, Vimeo, YouTube, Kaltura) or provide a link to stream a media file from a streaming service.
Note: The Aviary platform supports streaming media using m3u8 playlist files.

Media Staging: Import up to ten media files at once using the Media Staging feature. Media Staging also allows users to import media files from either local storage or cloud storage services (Google Drive, Dropbox, OneDrive, Box).

3. After selecting the media files to be uploaded, the file names will be listed under the Selected Media Files heading. Click the Upload and Continue button to upload the files to the resource.

5. The media file will be displayed under the Uploaded Media Files heading. Click the pencil icons to edit the Display Name or File Name for the media file. Click the buttons to re-assign the media file to another resource, manage and update the media file or metadata, or remove the media file from the resource.

Editing resource metadata

There are several options for editing the metadata associated with Aviary resources, including manually editing a resource, importing a bulk metadata import CSV, or using the API.
Follow the instructions below to edit resource metadata manually or by importing a bulk metadata CSV.

Manually editing resource metadata
1. Aviary resource metadata can be manually edited in two locations. Click General Settings to edit the metadata associated with the resource settings.

2. The Edit Resource page will load. Use the dropdown menus and text fields to edit metadata associated with the resource settings.

Bulk editing resource metadata
Metadata for existing Aviary resources can be edited in bulk by importing a CSV file that contains the updated metadata and identifiers for the resources.
Note: We recommend first exporting a CSV file from Aviary of the existing resource metadata that will be edited.
The exported CSV can then be used as a template to edit and import the updated resource metadata into Aviary. Follow the steps below to export a resource metadata CSV file.
Exporting resource metadata
1. Click the Resources link in the admin menu to open the Resources table. All of the existing resources in the organization will be displayed in the Resources table. Alternatively, click the Collections link and choose the Resources button beside a specific collection to only display resources in that collection.

2. Check the boxes beside individual resources or check the checkbox at the top of the column to select all of the resources that are currently displayed in the table. The number of selected resources will be shown at the top of the table.

3. To select all of the resources in the organization, click the Select All link.

4. To clear the selected resources, click the Clear Selected link.

5. To export metadata for the selected resources, click the Table Options button and choose Export Resources to CSV from the dropdown menu.

6. A confirmation message will be displayed. A link to download the resource metadata CSV will be emailed to the user when the export is complete.

Note: Exported CSV files include the columns that are currently displayed in the organization’s Resources table.
To display or hide columns in the Resources table before exporting the CSV file, click the Table Options dropdown menu and choose the Manage Table option.
Editing resource metadata
Download and open the resource metadata CSV file after exporting it from Aviary.
2. The CSV will contain columns for the resource metadata fields that were displayed in the Aviary Resources table when the file was exported and additional default metadata fields.
Note: Default metadata fields are not editable and will be ignored when importing the CSV into Aviary:
Resource File Count, Transcripts Count, Indexes Count, Annotation Sets Count, Supplemental File Count, Updated At, Collection Title, Has Transcript, Has Index, Has Supplemental File, Has Annotation Set, Sync ID, File Size, Created At, Playlist, Duration, PURL, URL, Media Embed.
3. Review and edit the resource metadata in the CSV file following these guidelines:
The CSV file is required to have an “aviary ID” column.
The aviary ID column must contain valid Aviary Resource IDs for all resources that will be edited when importing the CSV.
To edit existing resource metadata fields:
Column header labels in the CSV must match the existing resource metadata fields in Aviary.
If metadata is edited for existing fields in the spreadsheet, the metadata will be updated when importing the CSV file.
Metadata must be formatted according to the field type being edited:
Dropdown field metadata must match an existing dropdown option from the resource field settings.
Date metadata must match the ISO 8601 standard (yyyy-mm-dd, yyyy-mm, or yyyy).
Geolocation metadata must match the Longitude, Latitude::Zoom level::Description format (e.g. 42.64854511477633, -73.75106293187645::20::Aviary office)

To create and update new resource metadata fields:
If a new column is added to the spreadsheet with a header label that does not match an existing resource metadata field in Aviary, the new field will be created and updated with metadata from the spreadsheet when importing the CSV file.
To include multiple values in resource metadata fields:
Use double colons :: or double semi-colons ;; to separate field labels from values in the CSV — e.g. Interviewer::John Smith
Use the pipe character | to separate multiple values for a metadata field in the CSV — e.g. Creator::John Smith|Producer::Sally Jones
Use quotation marks around values that contain commas in the CSV — e.g. “Smith, John”
To delete metadata from existing resource metadata fields:
Replace resource metadata in the CSV with [TRUNCATE] to delete the existing metadata from the corresponding fields when importing the CSV file.
To ignore existing resource metadata fields:
If metadata fields are left blank in the spreadsheet, the corresponding resource metadata in Aviary will not be updated when importing the CSV file.
If a column is not present in the spreadsheet for an existing resource metadata field in Aviary, the existing metadata will not be deleted or edited when importing the CSV file.
4. After editing the resource metadata in the spreadsheet, save the updated CSV file that will be imported into Aviary. Follow the steps below to finish importing the CSV.
Importing resource metadata
1. Click the Resources link in the admin menu to open the Resources table.

Bulk editing resources
1. Click the Resources link in the admin menu to open the Resources table. All of the resources in the organization will be displayed in the Resources table. Alternatively, click the Collections link and choose the Resources button beside a specific collection to only display resources in that collection.

Resource Bulk Edit options:
Assign to Collection: Assign the selected resources to an existing collection. Resources can only be assigned to one collection.
Assign to Playlist: Assign the selected resources to an existing playlist. Resources can be assigned to multiple playlists. Resources may also be listed more than once in a playlist.
Bulk Delete: Delete the selected resources including all associated media files, indexes, transcripts, and supplemental files.
Change Featured: Update the selected public resources to be featured on the organization’s collection page and the Aviary home page or to not be featured.
Change Index Status: Update all indexes associated with the selected resources to be public or private.
Change Media File Status: Update all media files associated with the selected resources to be public or private.
Change Status: Update the privacy status of all selected resources to restricted, public, private, or internal. For more information about the resource status options, see the Creating a resource section of the Resources documentation.
Change Transcript Status: Update all transcripts associated with the selected resources to be public or private.
Create Transcription Job: Request automated transcripts for the selected resources. For more information about automated transcription options, see the Automated Metadata page.

Resource metadata field settings
Aviary organizations can manage, update, and create resource metadata fields that are applied at the organizational level. These organization-level resource metadata field settings include:

Access an organization’s resource metadata field settings

Dropdown: Provides controlled metadata options for organization users to select from a dropdown menu when editing resources. Dropdown options must be included in the Dropdown Options field when creating or editing the custom metadata field.
Date: Enter and display dates according to the ISO 8601 standard (yyyy-mm-dd, yyyy-mm, or yyyy)
Text: Enter metadata into a free text field and display unformatted text
Editor: Enter metadata into a rich text editor and display formatted text
Geolocation: Enter geolocation information into standardized subfields (longitude, latitude, zoom level, and description). Geolocation metadata is then displayed as a link to the corresponding location in Google Maps.
4. Enter dropdown options separated by a comma if the custom metadata field will be displayed to organization users as a dropdown menu.

1. The Status column in the Global Metadata Fields table indicates the display status for each metadata field in an Aviary organization. If the status is enabled, the field will be displayed to users in the Resource Metadata tab when viewing resources and to organization users editing resource metadata.

Update the internal only status of resource metadata fields
1. The Internal column in the Global Metadata Fields table indicates the restricted, “internal only” status for each custom metadata field. If the internal status is enabled, the field will only be displayed to internal Aviary organization users (Organization Owners, Organization Admins, or Organization Users).

Resource custom unique identifiers
Resource Custom Unique Identifiers for Aviary Organizations
Aviary organizations can assign a unique value to each of their resources. The Custom Unique Identifiers can then be used when creating direct links to the resources in Aviary. This allows organizations to create links for resources using semantic identifiers instead of the identifiers that are automatically assigned by Aviary.
Manually updating a resource custom unique identifier
1. To manually add or edit a Custom Unique Identifier to an Aviary resource, click General Settings on the Resource Detail page.

Bulk updating resource custom unique identifiers
Aviary organizations can assign custom unique identifiers to resources in bulk by importing a Bulk Metadata Edit CSV file that contains the associated resource metadata and custom unique identifiers.

Resource Custom Unique Identifiers for Aviary Flocks
Aviary Enterprise and Sustaining Partner subscribers have the ability to create custom unique identifier links for resources across multiple Aviary organizations, including all organizations in an Aviary Flock.
Aviary must complete custom development before custom unique identifiers can be created for resources in Aviary flocks. Follow these steps to begin configuring this functionality:
Contact Aviary Support to create a flock of Enterprise organizations. Provide the desired subdomain URL name for the flock and note if the custom unique identifier naming convention for resources in the flock will include any special characters.
Aviary will create a flock for the Enterprise organizations using the requested subdomain URL name.
After the flock is created, organizations may assign custom unique identifiers to resources in the flock. The organization can create links to resources in the flock that incorporate custom unique identifiers using the following naming convention: https://[yourflocksubdomain].aviaryplatform.com/c/[custom-unique-identifier]
Note: Custom unique identifiers must be unique for all resources in a flock. Enterprise organizations that are grouped in a flock may not use the same custom unique identifiers for separate resources.
